New eSignature software agreement set to slash costs for sector 4

Victorian health services can now access a leading eSignature software tool at a significant discount under a new agreement HSV has coordinated.

Health services can save up to 60 per cent on fees for the Docusign software, which has enhanced security features, improved mobile functionality and easier integration with systems such as Microsoft and Workday.

Documents can be signed virtually from any device and the electronic signatures are more secure than using paper and email attachments.

The software can be used for onboarding employees, financial approvals, executing contracts, workflow automation, goods receival and patient consent forms.

The eSignature agreement was published in December 2024 and has since generated significant interest from the sector.

Head of IT Sourcing John McKinlay says take-up is increasing across the sector, and is expected to grow by around 20 per cent a year.

“We’ve already received a lot of interest because the costs are so much more competitive than what health services were previously getting,” he said.

“If health services don’t have this tool, they need to scan a signature, add it to a word document and then pdf it. This isn’t secure and often, it’s not legally binding which is why we’re seeing more demand across the sector,” he says.

Heywood Rural Health CEO Leigh Parker says the health service invested in the eSignature software two years ago but had to scale back their user numbers due to budget cuts last year.

“We were paying a license fee for each user as well as higher transaction costs. Now we can have as many licenses as we need with lower transaction costs,” he says.

“We’re grateful to HSV for leading this procurement and landing on a really robust solution that’s very cost effective for us.”

For Heywood Rural Health the software is integral to their recruitment process – it’s used for police checks, employee contracts and, due to recent international recruitment, visa applications.

The health service can now expand its usage to their financial operations for approvals and to clinical areas for patient consent forms, for example.

“With Heywood being so rural, our workforce is geographically dispersed – we deliver services across five local government areas, and this software helps our people to work more efficiently,” Leigh says.

“Because you can sign documents on your phone our workflows are instantaneous. It’s also very helpful for our audit processes.”
